At WhiteCore, we are committed to delivering reliable enterprise-grade digital signage, content management and AI analytics software. This Refund Policy outlines how subscription charges, billing disputes and refund requests are handled.
By subscribing to WhiteCore services, you agree to the terms outlined below.
1. Subscription Services
WhiteCore operates as a subscription-based Software-as-a-Service (SaaS) platform.
Subscription services may include:
Cloud CMS platform access
Digital signage management services
Media player software licensing
AI-powered analytics services
Vision AI camera analytics
Reporting and automation services
Device management and remote monitoring
Subscription charges are billed according to the selected pricing plan.
2. Free Trial Period
Where WhiteCore offers a free trial period:
Customers may access the platform free of charge during the trial period
A valid payment method may be required prior to trial activation
At the conclusion of the trial period, subscriptions may automatically convert to a paid subscription unless cancelled beforehand
Customers are solely responsible for cancelling prior to trial expiration
Failure to cancel before trial expiry may result in automatic billing.
3. Subscription Payments
By subscribing to WhiteCore:
You authorise recurring subscription charges
Billing may occur automatically on a monthly or annual basis
Charges will continue until cancelled in accordance with our Subscription Cancellation Policy
Customers are responsible for maintaining valid payment methods at all times
Payments may be processed by approved third-party payment processors including Stripe.
4. General Refund Policy
Nothing in this policy excludes, restricts or modifies a consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law or another applicable law.
For change-of-mind requests, subscription payments are generally non-refundable after a billing cycle commences, partial billing-period refunds are not ordinarily provided, and failure to use the platform does not by itself create a refund entitlement.
Different rules apply where required by law, including for billing errors, failure to supply, misleading representations, or a service that does not meet an applicable consumer guarantee.
For an eligible major service failure, a customer may be entitled to cancel and receive a refund for the unused portion or compensation for reduced value. For an eligible non-major failure, WhiteCore will be given a reasonable opportunity to rectify the service before further remedies are considered, where permitted by law.

5. Billing Errors
If you believe you have been charged incorrectly:
You should notify WhiteCore promptly and, where possible, within 14 days of the charge so it can be investigated efficiently
This requested notification period does not limit any statutory right or remedy
Billing disputes must be submitted in writing to future@whitecore.ai
WhiteCore will investigate legitimate billing errors promptly
Where a verified billing error has occurred, WhiteCore will correct it or provide a refund where required by law and may provide another appropriate remedy.
6. Chargebacks
Customers should contact WhiteCore before initiating a payment dispute where it is safe and practical to do so, allowing WhiteCore an opportunity to investigate and provide an appropriate remedy.
WhiteCore may contest fraudulent or demonstrably incorrect chargebacks and may suspend affected services where reasonably necessary to manage fraud or unpaid charges.
Nothing in this section prevents a customer from exercising rights through their payment provider or under applicable law.
7. Hardware Purchases
Where WhiteCore hardware devices are supplied separately:
Hardware purchases may be subject to separate warranty conditions
Hardware refunds may only apply where required by applicable consumer law
Subscription software fees remain separate from hardware purchases
Physical hardware and software subscriptions are treated independently.
8. Enterprise Agreements
Enterprise customers operating under custom service agreements may be subject to separate refund and billing terms outlined within executed commercial agreements.
Where conflicts exist, enterprise agreements shall take precedence.
9. Exceptional Circumstances
In addition to refunds and remedies required by law, WhiteCore may consider discretionary refunds in exceptional circumstances including:
Duplicate billing errors
Confirmed system provisioning errors
Subscription activation failures caused solely by WhiteCore systems
Any discretionary refund is assessed on its facts and does not limit future statutory rights.
10. Policy Changes
WhiteCore reserves the right to modify this Refund Policy at any time.

Continued use of WhiteCore services constitutes acceptance of any updated policy.
