This Subscription Cancellation Policy outlines the rules governing subscription cancellation, billing termination, account deactivation and service suspension for WhiteCore services.
By subscribing to WhiteCore services, customers agree to the terms outlined within this policy.
1. Subscription Services
WhiteCore operates as a subscription-based Software-as-a-Service (SaaS) platform.
Subscription services may include:
Cloud-based digital signage CMS
Media player software licensing
Vision AI analytics services
Remote device management
Reporting and automation systems
API access and cloud integrations
Multi-site device management
Subscriptions remain active until cancelled in accordance with this policy.
2. Subscription Billing Cycle
WhiteCore subscriptions may be billed on recurring billing cycles including:
Monthly billing
Annual billing
Enterprise custom billing agreements
Billing occurs automatically using the payment method associated with the customer account.
Recurring billing continues until cancellation is completed successfully.
3. Customer Cancellation Rights
Customers may cancel their subscription at any time.
Cancellation may be performed by:
Logging into the customer dashboard
Accessing subscription management settings
Submitting written cancellation requests to future@whitecore.ai
Using approved billing management systems where available
Cancellation requests must be completed before the next billing cycle begins.
4. Cancellation Effective Date
Subscription cancellation does not immediately terminate active service access.
Upon cancellation:
The subscription remains active until the end of the current billing period
No additional billing will occur after the active billing cycle expires
Customers retain access during the remaining prepaid period
WhiteCore does not provide prorated refunds for unused subscription periods.
5. Free Trial Cancellation
Where free trials are offered:
Customers may cancel at any time during the free trial period
Cancellation prior to trial expiration prevents automatic subscription billing
Failure to cancel before trial expiry may result in automatic conversion to a paid subscription
Customers remain responsible for monitoring free trial expiration dates.
6. Failed Payments
Where subscription payments fail:
WhiteCore may:
Retry payment processing automatically
Notify customers regarding failed billing attempts
Restrict access to services temporarily
Suspend account functionality
Disable connected media players where subscription fees remain unpaid
Persistent failed payments may result in account termination.
7. Service Suspension
WhiteCore reserves the right to suspend services where:
Subscription payments remain outstanding
Billing disputes remain unresolved
Fraudulent payment activity is suspected
Platform abuse is detected
Customers violate Terms of Service or Acceptable Use Policy
Suspension may occur immediately where security or financial risks exist.
8. Account Deactivation
Following subscription cancellation or termination:
WhiteCore may:
Disable dashboard access
Suspend API access
Disable connected player devices
Suspend analytics services
Restrict future login access
Remove subscription-based platform features
Service access may cease immediately upon expiration of the active subscription period.
9. Data Retention Following Cancellation
Following account cancellation:
WhiteCore may retain account-related data for a commercially reasonable period.
Retained data may include:
Account records
Billing records
Device configuration information
Historical reporting records
Audit logs required for security or compliance purposes
WhiteCore reserves the right to permanently delete account data after applicable retention periods expire.
Deleted data may not be recoverable.
10. Hardware Ownership
Where customers purchase physical WhiteCore hardware separately:
Hardware ownership remains with the customer following subscription cancellation
Subscription cancellation may disable software functionality associated with licensed services
Hardware warranties may continue independently under separate warranty policies
Software subscriptions and hardware ownership operate independently.
11. Enterprise Agreements
Enterprise customers operating under custom agreements may be subject to separate cancellation terms.
Where conflicts exist between enterprise agreements and this policy:
Executed enterprise agreements shall take precedence.
12. Reactivation
Former customers may request account reactivation.
WhiteCore reserves sole discretion regarding:
Account restoration
Recovery of archived configuration data
Reinstatement of prior subscription pricing
Availability of previously deleted data
Reactivation is not guaranteed.
13. Policy Updates
WhiteCore reserves the right to modify this Subscription Cancellation Policy periodically.
Updated versions will be published at:

Continued use of WhiteCore services constitutes acceptance of updated policies.
